Reviewing Publication Changes

Review a publication’s tracked changes before publishing to ensure it contains only the edits you want. To review publication changes, open the Publications drop-down menu and select Review Changes.

Alternatively, you can review any publication’s tracked changes via the Publications application.

  1. Open the Global Menu (Global Menu), go to the Applications tab, and click Publications.

  2. Navigate to the Ongoing tab and click the desired Publication’s Actions (Actions button).

  3. Select Review Changes.

When reviewing changes, tracked changes can be ordered by User, Site, Title, Type, Status, Change Type, or Last Modified.

By default, Publications only displays some changes, but you can view all system changes as well. Click the publication’s Actions (Action Button) and select Show System Changes. This displays all changes included in the publication.

During review, you can select a change to view more details and access additional actions (e.g., edit, discard). Available actions depend on the entity’s type.

Using the Publication Overview

The Publication Overview provides a summary of changes at the top of the page, organized by system or site instances. Each component shows the number of modified entities for easy tracking across instances and components.

Click an entity to filter it and its instance’s changes.

Previewing Changes to Pages

If a publication includes edits to a page, you can preview those changes alongside the original version of the page.

When reviewing changes to a page with alternate user experiences, use the Experiences drop-down menu to switch between them.

Once selected, you can view each page version individually or select Split View to review them side by side.

A badge with the publication size appears next to the publication overview. It displays one of three sizes: small, medium, or large.

The size is based on a score that takes into account the number and type of changes, unresolved conflicts, the size of affected database tables, and the environment. Specifically, changes to articles or large tables contribute partial points, while unresolved conflicts contribute more. The score also increases if the installed system uses databases that require additional processing time (such as Oracle or SQL Server) or if more than five users are involved in the publication.

Larger publications take longer to publish and are more likely to have conflicts. Keep these factors in mind when preparing a large publication. For additional tips, see Best Practices for Managing Publications.

Previewing Content Changes with Display Page Templates

Use the Data and Display tabs to review tracked changes for both content and layout. You can also validate layout, formatting, and overall presentation of web content, blog entries, and other assets that use display page templates before publishing.

The Display tab shows a visual preview of how the content appears to end users. Reviewers can

  1. Preview Display Page Template changes directly in the Display tab.

  2. Preview content rendered within its associated Display Page Template, even when the template itself isn’t modified in the current publication.

The Data tab lists all editable fields for the content item. This includes standard metadata (for example, Title and Description) and any custom fields defined in web content structures. Reviewers can verify all content data before publishing.

Removing Unnecessary Publication Data

When reviewing publication changes, file and page previews can accumulate in the document library. If desired, you can remove this data.

  1. Open the Global Menu (Global Menu), go to Control Panel, and click System Settings.

  2. Click Upgrades under Platform.

  3. Go to the Data Removal tab.

  4. Select Remove DL Preview Change Tracking Store Content Data.

    Check the change tracking options.

  5. Click Save.

Liferay removes the unnecessary data immediately.

Accessing and Analyzing Change Data

Publication administrators can access detailed information about changes in the publication through the Data tab, which includes the following fields:

Important

Without the administrator role, users can only see the change’s title, author, create date, display date, status, and views.
