Release Feature (LPD-58677) Liferay DXP 2026.Q3+

A project is the fundamental organizational unit used to track the entire content lifecycle from start to finish within the Content Marketing Platform (CMP). Use projects as unified, permission-controlled workspaces that connect people, content, and activities around shared objectives.

Important

Activate the Content Marketing Platform using the release feature flag (LPD-58677) and a CMP license. See Activating CMP for more information.

You must be a member of a Liferay CMS space with permissions to create and manage projects.

Projects are the central hub for campaigns in the Content Marketing Platform.

The project interface is organized into three primary tabs that separate high-level strategy from execution and deliverables.

  • Details: View the project description, manage team members, and track collaboration via activity history.

  • Tasks: Manage work items, deadlines, and assignees.

  • Assets: Access the content and digital media linked to the project or to one of its tasks. Assets appear here once you link them, as Linking Assets to Projects describes.

By toggling between strategy in the details, execution in the task list, and final results in the assets repository, you can monitor the entire content lifecycle without leaving the project workspace.

Projects are organized in three primary tabs: Details, Tasks, and Assets.

Creating Projects

Initialize a project to begin organizing your initiatives. Once a project is created, use its centralized dashboard to manage collaborators, track progress, and update project metadata as the campaign evolves.

Follow these steps to initialize a new project:

  1. From your Liferay CMS space, click Projects under Planning.

  2. Click New.

  3. Enter a project title.

  4. (Optional) Define attributes, including manager, sponsor, description, due date, tags, personas, and funnel stages.

  5. Click Save.

The New Project form has fields for the title, manager, sponsor, description, due date, personas, funnel stages, and tags.

The project details view opens. From here, you can begin adding tasks and members to the workspace.

Managing Project Members

Projects use a dedicated membership model to control who can collaborate. You can add individual users or user groups and assign them specific access levels.

Note

Naming a project’s Manager or Sponsor grants project access. The Manager receives the Project Manager role, and the Sponsor receives the Project Member role.

Adding Members

You must hold the Project Manager or CMS Administrator role to manage membership. Users must be members of the space before they can be added to a project, so if someone isn’t listed, ask a Space Administrator to add them to the space first.

  1. From your Liferay CMS space, click Projects under Planning.

  2. Click the title of a project.

  3. In the Members panel on the right, click View All Members.

The Members panel on the project's Details page shows the View All Members link.

  4. Under Add People to Collaborate, keep the selector on Users to add individual users, or switch it to Groups to add user groups.

  5. In the field beside the selector, search for the user or group and select it.

Each member is added as soon as you select them and receives the Project Member role. Changes are saved automatically.

  6. To grant more than the base role, choose one or more roles from the drop-down on that member’s row.

The drop-down lists the three project roles as checkboxes, so a member can hold more than one. Project Member stays selected and can’t be cleared. For what each role can do, see Project Roles and Permissions.

A confirmation message appears for each member you add. Members appear under Who Has Access with their assigned roles, and the Members panel on the project page shows the total member count. Each new member is notified that they’ve been invited to collaborate, and the project appears in their project list at once.

Changing a Member’s Roles

You can add or remove roles for an existing member without removing and re-adding them.

  1. Open the project, and in the Members panel click View All Members.

  2. On that member’s row, open the roles drop-down and select or clear roles.

A confirmation message appears. You can’t change your own roles, and the project’s owner has no roles drop-down.

Removing a Member

Removing a member revokes access to the project without affecting their space membership.

  1. Open the project, and in the Members panel click View All Members.

  2. At the end of that member’s row, click Remove (Remove).

Removal takes effect immediately, with no confirmation prompt. The user loses access to the project, and the project no longer appears in that user’s project list.

Configuring Project Details

Manage the project lifecycle and metadata through the Info panel and the Edit action. The state indicates the current stage of your campaign.

  1. Open the project and locate the Info panel.

  2. Click the State drop-down menu.

  3. Select the appropriate status. The default options are Not Started, In Progress, Blocked, and Done. The menu lists only the states available from the project’s current state.

To add new statuses, add entries to the CMP States picklist. See Picklists for more information.

The State drop-down menu on the Info panel lists In Progress, Blocked, and Done.

To update project ownership or categorization:

  1. Click Actions (Actions) next to the project’s name.

The project's Actions menu offers Edit, Watch Project, and Delete.

  2. Select Edit to modify the project’s manager, sponsor, description, due date, tags, personas, or funnel stages.

  3. Work on the necessary changes and click Save.

All changes to project metadata and state are tracked in the History tab within the Activity section at the bottom of the dashboard.

The Info panel lists the project’s assigned Personas and Funnel Stages as labels, after State, Manager, Sponsor, and Due Date, and before Tags. See Personas and Funnel Stages.

Commenting on a Project

You can comment on a project from the Activity section at the bottom of the project dashboard, alongside the History tab.

Every project role can post, reply to, and rate comments, and you can edit or delete your own. A Project Manager can delete any user’s comment, and no role can edit another user’s comment. For the full breakdown, see Project Roles and Permissions.

  1. Open the project and scroll to the Activity section.

  2. Click Comments.

  3. Under Add Comment, enter your comment and click Save.

Once a comment is posted, you can work with it in three ways:

  • Click Reply beneath a comment to respond. Replies are one level deep, so you can’t reply to a reply.

  • Rate a comment with the thumbs up and thumbs down controls beside it.

  • Edit or delete your own comment from its Actions (Actions) menu.

Watching a Project

Watch a project to receive email notifications when someone updates the project, comments on it, moves it to the Blocked state, creates a task in it, or comments on one of its tasks.

On the project’s row in the project list, or next to the breadcrumb on the project details page, click Actions (Actions) and select Watch Project. A bell icon marks the item. A confirmation message confirms you’re watching the project. To stop, open Actions again and select Stop Watching Project.

The Watch Project action appears only for the Project Manager and CMS Administrator roles. See Project Roles and Permissions for the full breakdown.

Deleting a Project

Warning

Deleting a project also deletes every task belonging to it.

To remove a project, click Actions (Actions) next to the project’s name and select Delete. Confirm the deletion when prompted.

With your project structured and your team assigned, you can begin breaking down the initiative into actionable work items.
