Account Administration

Each AI Hub customer is a Liferay account, and you manage that account’s users and roles from the AI Hub Account Management page. With the Account Administrator role, you add existing users to the account, invite new users by email, and assign the account roles that determine what each user can do in AI Hub.

Liferay sets up your account and its first users when it provisions AI Hub, as described in Integrating AI Hub with Liferay DXP. The first of those users receives the Account Administrator and AI Hub Administrator roles, so they can manage the account’s users and roles. The remaining users Liferay provisions receive the AI Hub Agent Manager role.

AI Hub Account Roles

A user’s account roles determine which AI Hub pages they see and which resources they can work with. Assign each user the narrowest role that lets them do their job. AI Hub provides a set of built-in account roles:

AI Hub AdministratorThis is the broadest role. It controls the account’s AI Hub resources, such as agents, chatbots, data sources, and instructions, and can view and update the account’s configurations.
AI Hub Agent AdministratorThis role manages agents, including their permissions.
AI Hub Agent ManagerThis role creates, edits, and deletes agents.
AI Hub Agent ViewerThis role views agents without changing them.

Managing the account’s users requires Liferay DXP’s Account Administrator role, which is separate from these AI Hub roles.

AI Hub hides navigation pages a user’s roles don’t grant. A user with no role sees only the Home page, and any AI Hub agent role reveals Agent Builder. The Account Administrator role reveals the Account Management page. The AI Hub Administrator role grants the broadest access across AI Hub.

The built-in roles and their permissions are still being refined in Beta.

Account roles grant permissions across all agents at once. To restrict what a role grants on an individual agent, use per-agent permissions, described in Agents.

Managing Account Users

You must have the Account Administrator role. Open the account and its user list:

  1. Click Account Management in the AI Hub left navigation.

  2. Click the account you want to manage.

  3. Click Users.

From the user list, you can add existing users, invite new ones, and assign roles.

Adding Users

You can assign users who already exist in AI Hub. From the Users section,

  1. Click New, then Assign Users.

  2. Select one or more users and confirm. They appear in the account’s user list.

Inviting Users by Email

Invite people who don’t yet have an account:

  1. Click New, then Invite Users.

  2. Enter the recipient’s email address and press Enter. Repeat to invite more than one person.

  3. Click Invite.

AI Hub emails each recipient an invitation with a registration link. When the recipient opens the link, completes the registration form, and signs in to AI Hub, they are added to the account and appear in its user list.

Assigning Roles

You can assign the AI Hub account roles described above and Liferay DXP’s Account Administrator role. Grant that role to a user who must manage the account’s users in turn.

  1. In the user list, open the user’s Actions Actions menu and click Assign Roles.

  2. Select the account roles to grant and confirm.

AI Hub updates the user’s access to match their assigned roles.
