Managing Content Structures

After a content structure is published, you can manage, duplicate, or control access to it from the content structures list in the CMS.

Accessing the Content Structures List

  1. Open the Global Menu (Global Menu) and click CMS.

    Important

    Activate the headless CMS using release feature flags. See Activating the Liferay CMS for more information.

  2. In the left menu, click Content Structures.

  3. The list displays all content structures available in the site.

Actions Reference

For each content structure, click Actions (Actions Menu) to access these options:

Edit (Edit icon): Open the content structure builder to change the structure’s fields, configurations, or availability settings.

View Usages (View Usages icon): Discover where the content structure is used across spaces.

Export as JSON (Export as JSON icon): Download the content structure in JSON format for backups or for moving structures between environments.

Import and Override (Import and Override icon): Upload a JSON file to replace the current content structure with a new version.

Permissions (Permissions icon): Define which roles can view, edit, or manage the content structure.

Delete (Delete icon): Remove the content structure. This action does not delete content created with the structure, but the structure is no longer available for use. This option only applies to custom structures.

After creating a content structure, you can manage it from the Content Structures list in the CMS.

Exporting Content Structures

You can export content structures as a LAR (Liferay Archive) file for migration to another environment. Unlike Export as JSON, which exports a single structure, this exports all content structures together in one LAR file.

  1. Open the Global Menu (Global Menu) and click CMS.

  2. In the left menu, click Content Structures.

  3. Click Actions (Actions Menu) next to the Content Structures page title and select Export.

    Select Export from the Actions menu next to the Content Structures page title.

    By default, the export includes all content structures in the CMS.

  4. Review the export options, then click Export.

    The Export Content Structures dialog shows the export options for the content structures.

    The Current and Previous tab opens and runs the export process. When the status shows Successful, a download link for the LAR file appears in the Download column.

  5. Click the LAR file to download it.

Importing Content Structures

You can import content structures from a LAR file exported from another Liferay environment.

Note

You must have a LAR file exported from a compatible Liferay instance before importing.

  1. Open the Global Menu (Global Menu) and click CMS.

  2. In the left menu, click Content Structures.

  3. Click Actions (Actions Menu) next to the Content Structures page title and select Import.

    Select Import from the Actions menu next to the Content Structures page title.

  4. Drop your LAR file into the import area, or click Select File and choose it.

    The Import Content Structures dialog provides options to drop or select a LAR file.

  5. Click Continue.

  6. Review the file details and application options, then click Import.

    The Current and Previous tab opens and runs the import process. When it completes, the imported content structures appear in the Content Structures list.

Managing Workflows in Bulk

You can assign a default workflow to multiple structures simultaneously. The selected workflow becomes the default for these structures across all spaces, including newly created ones.

  1. Select the target content structures.

  2. Click Assign Default Workflow (Assign Default Workflow icon).

  3. Select a workflow and click Assign Workflow.

You can override the default workflow assignment of a structure in each space. If a structure’s workflow is already set in a space when the default workflow is configured, the space-specific setting takes precedence.
