Exploring Assets

Beta Feature Liferay DXP 2025.Q4+

Important

Currently, this feature is behind a beta feature flag (LPD-17564) and also depends on a release feature flag (LPD-34594) and a beta feature flag (LPD-11235). Read Feature Flags for details on configuring feature flags and Feature Availability for availability details.

You can view assets in Table or Card view. Both layouts support folder navigation and quick actions for an intuitive browsing experience. Navigate folders, perform quick actions, and use filters or previews to find/review the content you need fast.

Table View: Displays assets in a sortable table with columns for Title, Author, Type, Space, Modified Date, and Status.

Card View: Displays assets as cards with a thumbnail (if available), asset type icon, title, modified date, and workflow status.

There are two available layouts: Table View, which organizes assets in sortable columns, and Card View, which emphasizes previews and workflow details.

Tip

Use the breadcrumb trail to navigate through folders. Combine it with the search bar and filters to locate assets faster.

Using the Info Panel

Use the Info Panel to view detailed information about a selected asset without leaving the main list.

To open the Info Panel, select an asset and click (Info Panel icon) or next to the asset click Actions (Actions menu) → Show Details.

The info panel includes these tabs:

Details: Displays metadata such as URL, author, creation and modification dates, review and expiration dates, and custom metadata fields. For images (1) and PDFs (2), a thumbnail or preview appears. Other asset types (3) have no preview.

Access the Details tab to view metadata and a preview of an image or PDF file.

Categorization (4): Add or edit categories and tags to organize assets.

Performance (5): Displays file performance metrics from Liferay Analytics Cloud when enabled.

Versions (6): Lists file versions with version numbers, creation dates, and authors.

Comments (7): Shows file comments with author and timestamp. You can also add new comments.

Access the Categorization tab to manage categories and tags, the Performance tab to view file metrics from Liferay Analytics Cloud, the Versions tab to see a list of available versions of the file, and the Comments tab to see and add comments related to the file.

Previewing Files

Preview images directly from the file list. Next to the file, click Actions (Actions menu) → View to preview the content or download it.

The Files section provides built-in previews for images.

Using Filters

Use the search bar and filters to locate assets across spaces and asset types.

  1. Use the search bar to find specific entries by name or keyword.

  2. Select filters to narrow results by attributes such as type, status, or date.

    Some included filters include Space, Type, Category, Tags, Extension, Author, Status, and date filters for Create, Display, Expiration, Modified, Publish, and Review dates.

  3. Configure each filter by selecting the categories or parameters you want. Toggle Exclude to remove matching results.

Customizing the All Section

This feature also requires the Data Set Manager release feature flag (LPS-164563). Read Feature Flags for more information.

The CMS All section uses a system data set. Administrators configure this view in Data Set Manager to change columns, sorting options, filters, and available actions.

  1. Open the Global Menu (Global Menu), go to the Control Panel tab, and click Data Sets.

  2. Select the System Data Sets tab and click New.

    If this is your first data set, you can click Create System Data Set Customization.

  3. Select All Section - CMS All Section and click Create.

    Edit the All Section data set and change columns, sorting, filters, and available actions.

The system data set is created. Edit it like any other data set. See Managing Data Sets for details.

For example, rearrange the column order. By default, the data set displays Title, Type, Space, Author, Modified Date, and Workflow Status (1). To focus on workflow, display Title, Status, Author, Modified Date, Type, and Space (2). You can also remove columns, define filters, and set ordering rules, such as sorting by Created Date in descending order.

Modify the data set to customize how information appears.
