Creating Assets and Folders

You can upload and organize assets in folders in the Content Management System (CMS). Assets include default types such as documents, images, external videos, basic content, and blogs. You can also create structured content and customize your own files and content types.

Manage assets by organizing them in folders, applying categorizations, and configuring options for scheduling, versioning, and collaboration.

Note

Assets are not created directly in asset libraries from within the CMS. Asset libraries are global repositories that can be connected to sites but are managed outside of CMS spaces.

Creating Assets

  1. Open the Global Menu (Global Menu) and click CMS.

  2. Navigate to one of the following sections:

    All (1): Create any content or file type except folders.

    Contents (1): Create basic content, blogs, or knowledge base articles.

    Files (1): Create documents, videos, or upload multiple files. You can also go into a space and click View All Files (2).

    Create assets from different areas of the interface.

  3. Click New and select what to create.

Create a folder, content, or file within the CMS.

You can create content and file types using content structures. Once created, these structures appear as options under Contents, Files, or All when adding new assets.

Tip

Your work is saved automatically as you create the asset. If you leave the process before finishing, a draft is created, so you can continue editing later.

Creating a Folder

  1. Go to the Contents or Files section, or open a specific space where you want to create the folder.

  2. Click NewFolder.

    If the Contents or Files section is empty, you can also click New to create a folder.

  3. Enter a name for the folder and select the space where you want to add it.

    If only one space exists, the folder is created there automatically.

Creating Content

  1. Go to the Contents section.

  2. Click NewBasic Content or Blogs. These are included content structures you can use to create content. Content structures you create later also appear in this list.

  3. Select the space where you want to add the content.

  4. Select a language in the top-left corner to add or edit translations. Available translations are marked as Translated.

    When users view the content, they see the translated version in their selected language, if a translation exists.

  5. Enter a name for the content.

  6. Optionally, enter a Friendly URL to create a simple, descriptive link for the content. If left blank, a URL is generated automatically from the title.

  7. (Blogs) Add a subtitle to provide additional context or a summary for the post.

  8. Use the WYSIWYG editor to create and format the content.

  9. (Blogs) Click Select File to add a cover image.

  10. Configure additional settings such as expiration or review dates, categories, tags, or comments. See Additional Settings for details.

  11. Click Publish.

Create general-purpose web content or blog posts.

Uploading Files

  1. Go to the Files section.

  2. Click NewSingle File, Multiple Files, or External Video Shortcut. These are included content structures you can use to create files. File structures you create later also appear in this list.

    Single/Multiple File: Upload standard files such as PDFs, documents, or images that are stored in Liferay and can be previewed or edited.

    External Video Shortcut: Add a link to a video hosted outside Liferay that can be managed like a file but isn’t stored in the system.

  3. Select the space where you want to upload the file.

  4. Select a language in the top-left corner to add or edit translations. Available translations are marked as Translated.

    When users view the document, they see the translated version in their selected languages, if a translation exists.

  5. Enter a name for the file.

  6. Optionally, enter a Friendly URL to create a simple, descriptive link for the document. If left blank, a URL is generated automatically from the document title.

  7. (External Video) Add a video URL. The system shows a preview if a preview is available for the video.

  8. (Single File) Upload a file by clicking Select File and choosing a file from your computer.

  9. Configure additional settings such as expiration or review dates, categories, tags, or comments.

  10. Click Publish.

Upload files such as PDFs, documents, or images, or add external videos by URL. Files are stored in Liferay and can be previewed or edited.

Uploading Multiple Files

  1. Drag and drop the files into the designated area or click Select Files.

  2. Choose the space where you want to upload the files.

    To remove a file, click (Remove file icon).

  3. Click Upload. The files are added to the selected space, and the updated files list appears once the upload is complete.

    If errors occur, they appear before you can proceed.

  4. After uploading, click a file to edit its fields.

Additional Settings

You can configure extra settings to manage, organize, and track your assets. Use these options while uploading or editing an asset to schedule expiration or review dates, categorize your assets, or add comments for collaborators.

While uploading or editing an asset, use the icons in the side panel to access the available options:

General icon General: Displays information about the file, including its type (e.g., Basic Document), version number, and unique ID.

Schedule icon Schedule: Configure an Expiration Date to withdraw the file, or set a Review Date to remind collaborators to check accuracy. Both can be set to Never Expire.

Categorization icon Categorization: Organize content by assigning categories and tags. For example, an onboarding guide could use categories like HR Procedures and tags like Onboarding, New Hire, or Employee Handbook. Categorization improves search exposure and consistent organization.

Comments icon Comments: Collaborators can leave comments directly on the file. Each comment shows the author and time, and supports replies, likes, and dislikes. With permissions, you can edit or delete comments via the (Actions menu).
