Managing Subscriptions

Subscriptions are a special type of recurring order and are managed differently from regular orders. All orders, including Subscriptions, are accepted and processed in the Orders Menu. However, once a Subscription order has been accepted, it is displayed in the Subscriptions menu.

Fulfilling a Subscription Order

In Commerce 3.0, Orders and Subscriptions are managed in the Global Applications menu.

To begin fulfilling a subscription order that has been placed:

  1. Navigate to the Global Applications menu → CommerceOrders.

  2. Click on the Order ID to begin.

  3. Click the Pending button. This moves the order into the Pending status.

  4. Click the Accept Order button. This moves the order into the Processing status.

  5. Once the subscription order has been accepted, follow the steps to create a shipment. See Creating a Shipment to learn more.

Once the order has been accepted, it appears on the Subscriptions menu.

Managing a Subscription Order

  1. Navigate to the Control PanelCommerceSubscriptions.

  2. Click on the ID (43811). This ID is specific to subscriptions. (It is distinct from normal Order or Shipment IDs.)

  3. On the General tab, make any changes to either the Payment or Delivery options. For example, change the Next Iteration Date under Delivery Subscription to an earlier date.

    You can change the next delivery date.

  4. Click the Save button.

Suspending or Cancelling a Subscription Order

To suspend or cancel a subscription order:

  1. On the General tab, select Suspended or Cancelled from the Status dropdown menu in the Payment Subscription section.

  2. Switch the Never Ends toggle to NO.

  3. Enter 1 in the Ends After field.

  4. Next, scroll down to the Delivery Subscription section.

  5. Select Suspended or Cancelled from the _Status dropdown menu.

  6. Switch the Never Ends toggle to NO.

  7. Enter 1 in the Ends After field.

  8. Click Save to apply the changes.

Tracking Shipment Status

  1. Click the Shipments tab. From here, store managers can track shipment status.

    You can change track the shipment status.

Tracking Payment History

  1. Click the Payments tab. From here, store managers can track payment history.

Configuring Subscriptions

To configure subscriptions:

  1. Navigate to the Control PanelConfigurationSystem Settings.

  2. Scroll down to Commerce and click Catalog.

  3. Click Subscriptions in the left menu.

    Review the following available configurations:

    • Renew Check Interval - Determines how often the system will check check for renewals .

    • Subscription Cancellation Allowed - If checked, allows users to cancel a subscription.

    • Subscription Suspension Allowed - If checked, allows users to suspend a subscription.

  4. Click the Save button to apply the changes.

Commerce 2.1 and Below

Commerce Orders and Subscriptions are managed in the Control Panel.

  1. Navigate to the Control PanelCommerceOrders.

  2. Click on the Open tab.

  4. Click the Pending button. This moves the order into the Pending status.

  5. Click the Accept Order button. This moves the order into the Processing status.
